Objective

The Project Coordinator will be responsible for the successful implementation of agreed and funded Project from the side of Ukrainian NGO, supervising the project team and ensuring successful implementation of the project according to the timeline, budget and quality standards required.

The Project coordinator will report directly and cooperate to Helpcode National Project Manager based in Ukraine, and will supervise the field team.

 

Main Responsibilities, Project Management, Monitoring, Evaluation and Reporting

 

  • Compiling and adopting supporting programs based on information gathered from communication with beneficials;
  • Ensures an effective planning and implementation of the project as well as timely results delivery;
  • Ensure an effective partnership with the different project stakeholders (local authorities);
  • Supervise the activities implemented by the field team;
  • Provide regularly Context Analysis updates;
  • Ensure that Security Assessment is regularly updated in order to identify proper project mitigation actions;
  • Prepares all and every report agreed with parties, including drafts quality progress and final reports to be shared to the donor and internally;
  • Conducts regular meetings with the project staff and support them to follow up on project implementation including revision of targets against achievements, identification of gaps in the response in order to define needed adjustments in the implementation;
  • Delivers timely quality reporting on project activities;
  • Provides weekly updates to the Partners about project progress including achievements vs targets using Helpcode and donors’ monitoring tools, and flag for any challenge;
  • Ensures agreed project communication visibility.

 

Financial Management and procurement on the field level

  • Guarantees an efficient financial management for the project, in compliance with agreed requirement;
  • Prepares and ensures regular update of financial plan;
  • Prepare purchase, in line with the budget and the financial and procurement plan;
  • Compile the bookkeeping entries; compile budget line allocations, budget expenditure status against actual delivery and the financial plan for the project implementation period;
  • Ensures purchases of goods, services, supplies are in line with the relevant Helpcode procurement guidelines, procurement plan and donor’s regulations;
  • Verifies the list of expenditures, prior to finalising the interim and final financial reports;
  • Holds final responsibility for providing all support documents.

 

Team Management & Human Resources Management

  • Ensures a strong project team management and coordination;
  • Ensures timely recruitment of staff, in coordination with relevant support staff, as per Helpcode policy for staff recruitment;
  • Ensures respect of and adherence to Helpcode rules and regulations, code of conduct and PSEA

 

Coordination and networking

  • Establishes and manages relations pertaining to project activities, with relevant stakeholders, local authorities, relevant donors and institutions. (donor, partner organisations, other stakeholders)
  • Is responsible for the partnership management (preparation of MoUs with partners and local authorities and meetings).

 

Knowledge, Skills Required:

  • Master degree in a field relevant for the proposed intervention;
  • 5 or more years of progressively responsible experience in leadership and management in a developing country environment;
  • At least 3 years of previous experience managing a project;
  • Strong interpersonal, communication and organisation skills as well as good judgement, vision and maturity;
  • Strong experience with financial, personnel and program management; as well as, financial, human resource, and program management;

ACCOUNTANT, part-time, 30% employment

OBJECTIVE:

The Accountant will be responsible technical assistant of financial and procurement operation for the successful implementation of agreed and funded Project (with no authorisation right for providing financial operations), tracking payments to internal and external stakeholders, processing tax payments and returns according to the local legislation and agreed procedures.

The Accountant will report directly to the Project Coordinator.

 

Main Responsibilities

 

  • Participate in preparation of budget forecasts; 
  • Manage all accounting transactions;
  • Publish financial statements in time;
  • Handle monthly, quarterly and annual closings;
  • Reconcile accounts payable and receivable;
  • Ensure timely bank payments;
  • Compute taxes and prepare tax returns;
  • Manage local official financial statements;
  • Report on the company’s financial health and liquidity;
  • Audit financial transactions and documents;
  • Reinforce financial data confidentiality and conduct database backups when necessary;
  • Comply with financial policies and regulations;
  • Ensures respect of and adherence to Helpcode rules and regulations, code of conduct and PSEA

 

Knowledge, Skills Required:

  • Degree in Accounting, Finance or relevant degree;
  • 2 or more years of work experience as an Accountant and NGO specialization;
  • Excellent knowledge of accounting regulations and procedures, the Generally Accepted Accounting Principles (GAAP) is a plus;
  • Hands-on experience with accounting software; 
  • Computer proficiency with high level of familiarity with commonly used packages like MS Word, Excel, Power Point, other data base package; Advanced MS Excel skills including;

IDP REGISTRATION AND DATA ADMINISTRATOR, part-time, 50% employment

OBJECTIVE:

The IDP Registration and Data Administrator will be responsible for compilation and work with data of IDPs that is necessary for the successful implementation of agreed and funded Project, updating and obligatory records to ensure transparency and traceability of the project implementation in accordance with Helpcode and donor policies.

The IDP registration and data administrator will report directly to the Project Coordinator.

 

Main Responsibilities

 

  • Compile and update data for supporting programs;
  • Provide supporting info in forms of reports and reference for planning and implementation of the project as of requests;
  • Prepare all and every report agreed with parties;
  • Participate in regular meetings with the project staff and support them to follow up on project implementation, identification of gaps in the response in order to define needed adjustments in the implementation;
  • Share findings from data analysis and updating;
  • Provide weekly and monthly updates to the Partners about project progress including achievements vs targets using Helpcode and donors’ monitoring tools, and flag for any challenge;
  • Ensure timely recruitment of staff, in coordination with relevant support staff, as per Helpcode policy for staff recruitment;
  • Prepare and ensures regular update of data report; Holds responsibility for providing of all supporting data for the project implementation and reports;

  • 5 or more years of experience in data, financial or technical since;
  • At least 2 years of previous experience managing data in projects;

ADULT PSYCHOLOGIST – 2 position with part-time, 50% employment

OBJECTIVE:

The Adult Psychologist will provide in-person and online psychological counseling to IDPs as well as group workshops; collect feedback from IDPs.

 

The Adult Psychologist will report directly to the Project Coordinator.

 

Main Responsibilities

  • Participate in program development for IDPs;
  • Implement the program compiled for IDPs; 
  • Conduct assessments of assigned residential parent/child dyads in order to lead to diagnostic impression and recommendations for the development of parent infant mental health interventions;
  • Provide weekly individual and group treatment interventions, as indicated, appropriate for parents and children with relational/attachment problems in the residential programs; 
  • Provide trauma specific interventions for traumatised children in the childcare setting as needed;
  • Work collaboratively with all mental health and or clinical teams; 
  • Refer out for psychiatric consultation for further assessment; 
  • Provides crisis intervention as needed; 
  • Provide timely documentation for all clinical assessments, individual and group sessions, treatment goal development and progress, and discharge summaries; 
  • Prepare patient for appropriate discharge upon completion of the program and makes referrals for ongoing therapeutic services as needed; 
  • Maintain records as required by organisation policies and regulatory and accrediting agencies; 
  • Maintain compliance with organisational and regulatory agencies policies and standards; 
  • Participate in program, committee and staff meetings as indicated; 
  • Participate in program evaluation and ongoing quality improvement efforts;

Knowledge, Skills Required:

  • Master’s degree in counselling, education, social work or related field with experience working with parents and children impacted by trauma; 
  • Licensed Clinical Psychologist; 
  • A minimum of two years of experience in providing counselling in mental health centres, or work in private practice;
  • Bilingual (English/Ukrainian/Russian) speaking is a plus.

LOCAL COORDINATOR, part-time, 50% employment

OBJECTIVE:

The Local Coordinator will be responsible for all interaction with IDPs, engages and contacts IDPs to participate in activities and workshops, engages local residents into social interaction workshops, organises family hygiene package distribution, and other duties on site, and for representation the program/organisation on IDP sites, establishes protection information desks in IDP sites to offer information service, establishes local partnerships, ensures IDP registration in our system. 

The Local Coordinator will report directly to the Project Coordinator.

 

Main Responsibilities

 

  • Participate in regular meetings with the project staff and support them to follow up on project implementation, identification of gaps in the response in order to define needed adjustments in the implementation;
  • Share findings from data analysis and updating;
  • Provide weekly and monthly updates to the Partners about project progress
  • Establish protection information desks;
  • Organize family hygiene package distribution activity;

Knowledge, Skills Required:

  • Degree in Marketing is a plus;
  • 2 or more years of work in position connected with people communication;

JOB COUNSELLOR – 1 position with part-time, 50% employment

OBJECTIVE:

The Job counsellor will provide in-person and online, private and group job counselling to IDPs as well as group workshops; collect feedback from IDPs. 

 

The Job Counsellor will report directly to Project Coordinator.

 

Main Responsibilities

  • Participate in program development for IDPs;
  • Implement the program compiled for IDPs; 
  • Provide weekly individual and group counselling and trainings, as indicated; 
  • Work collaboratively with all mental health and or clinical teams; 
  • Maintain records as required by organisation policies and regulatory and accrediting agencies; 
  • Maintain compliance with organisational and regulatory agencies policies and standards; 
  • Participate in program, committee and staff meetings as indicated; 
  • Participate in program evaluation and ongoing quality improvement efforts; 
  • Ensures respect of and adherence to Helpcode rules and regulations, code of conduct and PSEA. 

 

Knowledge, Skills Required:

  • Master’s degree in counselling, education, social work or related field with experience working with parents and children impacted by trauma; 
  • A minimum of two years of experience in providing HR and or recruiting services, or work in private practice as a job counsellor;
  • Bilingual (English/Ukrainian/Russian) speaking is a plus. 

CHILD PSYCHOLOGIST – 2 position with part-time, 50% employment

OBJECTIVE:

ADULT WORKSHOP FACILITATORS – 4 position with part-time, hourly employment

The Workshop Facilitators will conduct workshops once a month on different topics of specialisation: cooking, art, local culture, educational, psychological and similar; collect feedback from IDPs. 

 

The Workshop Facilitators will report directly to the Project Coordinator.

 

Main Responsibilities

  • Participate in programs and workshops development as activities for IDPs;
  • Conduct workshops agreed once per month;
  • Work collaboratively with all mental health and or clinical teams; 
  • Maintain compliance with organisational and regulatory agencies policies and standards; 
  • Participate in program, committee and staff meetings as indicated; 
  • Participate in program evaluation and ongoing quality improvement efforts; 
  • Ensures respect of and adherence to Helpcode rules and regulations, code of conduct and PSEA.

Visibility manager, graphics and video designer, part-time 40%

 

The ideal candidate:

  • Is excited by being the orchestrator of the production process and actively problem solving the integral pieces we need in creating a video deliverable.
  • Has a solid understanding of production/post-production workflow, timelines and creative solutions.
  • Has a strong familiarity with project management software, and organizational tools.

Responsibilities

  • Video Production
    • Ensure all creative deliverables and assets adhere to standards and manage QC through post and delivery; Monitor post-production processes in order to ensure accurate completion of all video creative.
    • Assist in putting forward the best production team members for each job, including editors, vfx specialists, motion designers, sound designers, and colorists.
    • Manage and track music licenses and contracts, as needed.
    • Source and track creative assets, as needed.
    • Stay current on industry and technology trends and foster innovative production solutions.
  • Project Management
    • Manage and lead all aspects of pre-production, production and post-production for performance marketing video creative.
    • Responsible for negotiating, generating, and managing the lifecycle and project plan of a video schedule.
    • Actualize and archive all projects; Maintain documentation and dashboards that allow for quick and efficient understanding of resource capacity and project status.
    • Partner with other project managers, designers, copywriters, and other marketing creative stakeholders to build and deliver high-quality assets.
    • Anticipate and resolve conflicts diplomatically; facilitate effective communication within and across teams.
    • Ensure the team has a clear definition of success for outcomes/deliverables before starting a project.
    • Communicate regularly re: process gaps or areas to improve; work transparently to identify areas for process improvement.

Qualifications

  • 4+ years’ experience in a post-production environment as an active producer
  • Experience with project management and team collaboration software tools (i.e. Jira, Airtable).
  • Understanding of production and post-production project workflows.
  • Understanding of production techniques and software, and how each are used to complete projects (After Effects, Cinema 4D, Premiere, etc.).
  • Thorough understanding of file formats and delivery.
  • Cursory knowledge of Premier, Adobe Photoshop, Illustrator, and After Effects workflow.
  • Knowledge of the various roles, functions, capabilities, equipment, and applications within the production department.
